Executive Legal Secretary – Litigation Practice
An exciting opportunity has arisen in a busy litigation practice at a highly regarded offshore law firm. We are seeking applications from experienced legal secretaries or PAs with a minimum of 5 years’ senior-level experience and at least 2 years supporting a litigation practice.
This is a high-profile team where you will work closely with senior lawyers, providing essential support across a broad range of complex litigation matters. The role offers exposure to high-level client interactions, matter management, and the full scope of litigation legal secretary responsibilities, allowing you to make a tangible impact on the efficiency and success of the practice.
Role responsibilities:
- Provide full lifecycle support on litigation matters including drafting, proofreading, formatting, and document management.
- Maintain organized electronic and physical filing systems and manage document workflows.
- Coordinate matter openings, engagement letters, conflicts checks, compliance/KYC, and onboarding processes.
- Assist with billing cycles, expense processing, and month-end close-outs.
- Support preparation and coordination of client calls, meetings, and case timetables.
- Manage complex calendars, deadlines, and priorities efficiently.
- Coordinate travel, conferences, and other logistical requirements.
- Communicate professionally with clients, counsel, court staff, regulators, and external service providers.
- Support business development activities, including maintaining CRM records, client gifting, and practice development initiatives.
- Provide assistance with marketing initiatives such as RFP responses, presentation materials, and event support.
Experience:
- Minimum 5 years of senior-level legal secretarial or PA experience in a law firm or professional services environment.
- At least 2 years’ experience supporting a litigation practice.
- Strong knowledge of legal terminology and litigation processes.
- Advanced proficiency in MS Office, Adobe, document management systems, CRM, and billing/time management platforms.
- Excellent discretion, professionalism, and ability to manage confidential information.
- Strong written and verbal communication skills and a client-focused approach.
- Highly organized with the ability to prioritize and meet deadlines independently.
- Flexible approach to working hours to accommodate deadlines and filings.
- Positive, proactive, and collaborative team player.
